Purpose of Position:
We are looking for a Property Administrator to join our Toronto Real Estate Management Team. The candidate should be prepared to work as part of a high energy team in a busy work environment. As a key member of the team, you will work in collaboration with the Property Manager to provide support to our clients. This is a full time position located in our downtown Toronto office.
Summary of Essential Job Functions:
In conjunction with the Property Accountant, monitors rental arrears and prepares notifications; follows up with tenants to ensure timely payment; prepare demand and default notices and other special forms as directed by the Property Manager; assist in monthly Accounts Receivable analysis.
Ensure tenant notices (RAN’s; Welcome Letters etc) are distributed within a specified timeframe.
Track vacant units and ensures that utility accounts are set up and maintained; is to review and verify all the regional utility invoices.
In co-ordination with the Accounts Payable Specialist, arrange for EFT payment of reoccurring billings.
In association with the Colliers Service Technicians, co-ordinate all tenant moves (in or out). This includes advising the Leasing Manager of the vacancy; ensuring leasing signs have been installed; and arrange for Service Technicians to undertake regular inspections of the vacant units.
Respond to general day-to-day enquiries and concerns from tenants, verbally or in writing, and redirect specific enquiries, problems and complaints to the appropriate regional team member.
Liaises with various departments with the REMS community and provide updates/revisions with regards to policies and procedures; provide updates on new tenants; and provide additional assistance in servicing tenants, as required.
Assist with budget preparations.
Acts as contact person with the service provider for tracking tenant insurance certificates.
May assist in coordinating and/or asked to attend regional programs (Fire inspections, seasonal promotions etc)
Assist with obtaining supplier and contractor quotations: tracking contract renewal dates; handling all non-Service Centre calls from tenants, suppliers, contractors, etc.
In coordination with the CMS Service Technician (s), coordinate unit and building inspections. Under the direction of the Property Manager, distribute same to the tenants.
Verify invoice coding and track in capital project costs.
Maintain team calendars and critical paths (electronic & hard copy). Distributes this monthly to all relevant team members with a copy to Manager, Client Services and the SVP, National Accounts & Eastern Canada.
Other duties as required.
Required Skills:
2-5 years experience in Property Management
Experience and knowledge of commercial and retails leases and general leasing terms and language
YARDI experience preferred
RPA candidate preferred
Ability to deliver excellent customer service at all levels of the organization and with external partners.
Possess strong organizational, time management and project management skills with a demonstrated ability to work both independently and within a team environment.
Ability to communicate clearly and concisely, both orally and in writing.
Advanced skills in Microsoft Office applications (MS Word, Excel, PowerPoint and Outlook).
Strong relationship-building ability, proactive, results-oriented, and resourceful.
Exhibit a high level of professionalism and excellent interpersonal skills
Ability to meet deadlines without compromising accuracy, excellent product quality and attention to detail.
